Job Description

  • 1.       Internal Mail Management between branches and Head office:The Branch support Officer is responsible to organize and monitor an efficient and smooth Internal Mail Management (“snail mail”); responsibilities include:·         To design, together with HSF, the internal mail process (including responsibilities and adequate documented controls) between branches and Head office, and between the different HO departments; ·         To organize the dispatching of any document, letter or goods, according to management instructions (in coordination with LOG dept.)·         To follow up on a regular basis the correct implementation of the process and to report to HSF in case of any issue;2.       Stationery and consumable Management:The Branch Support Officer is responsible for organizing and monitoring the order and delivery process of stationeries and consumables[1]  to the branches. To this end, s/he:·         Collects the needs on a regular basis, as per the Procurement Process (monthly/quarterly);·         Manages the relation with the suppliers; negotiates the best conditions for Advans Myanmar (prices, delays, payments…); updates & monitors the list of Advans Myanmar Suppliers;·         Organises the store (inventory of goods upon reception, data entry in stock management software, documentation of outgoes, filing of reception supporting documents);·         To assist the Logistics Department in setting up new branches for stationary and small equipment purchases;·         Organizes, together with LOG, the timely delivery of the stationeries and consumables to Branches;·         Maintains and updates stationery stock register for all stationary items; Ensure adequate stocks of all stationery items are available all the time; participates, together with LOG and FIN, to the controls (regular inventory exercises) on stationery and consumables items;·         Reports on a timely manner on any suspicion or particular situation to HSF.3.       Communication and Marketing The Branch Support Officer is in charge of the management of the communication and marketing needs[2] of the branches. To this end, s/he:·         Collects the needs for marketing and communication items (flyers, posters, goodies…) on a regular basis, as per the Procurement Process (monthly/quarterly);·         Manages the relation with the suppliers; negotiates the best conditions for Advans Myanmar (prices, delays, payments…); updates & monitors the list of Advans Myanmar Suppliers;·         Organizes, together with LOG, the timely delivery of marketing and communication items to Branches;·         Maintains and updates stock register for all marketing and communication items; Ensures adequate stocks are available all the time; participates, together with LOG and FIN, to the controls (regular inventory exercises) on marketing and communication items;·         Reports on any suspicion or particular situation to HSF.4.       Manage the Suggestion boxThe Branch Support Officer is responsible:·         To design and organize, together with Operations, the Suggestions Boxes management at the Branch level (including process, responsibilities, monitoring and training, if needed);·         To process and survey the results/content of the Suggestion Boxes in Advans Myanmar Branches as per the procedure in force, and to coordinate with the adequate departments, to ensure an appropriate answer is provided to the requester;·         To provide management with regular reporting on the Suggestions follow up;5.       Any other task as requested by the HSF

Position Requirements

The position requires:

  • A good understanding/knowledge of Advans Myanmar Branch’s activities and needs;
  • Excellent customer service skills with a happy and positive disposition, and good capacity to play a service-oriented role;
  • Ability to gain understanding of problems and problem fixing skills;
  • Rigor and quality on the day-to-day organization; capacity to closely follow up the on-going activities;
  • Punctuality and ability to respect timelines and schedules;
  • Good negotiation skills (internal and external);
  • Intermediate level of computer skills;
  • Good knowledge of Mandalay;
  • Good English Skills;
  • Ability to interact with his supervisor (reporting).
